Choosing a childcare management system is a decision your whole team will live with every day: directors, teachers, office staff and parents. The right system removes hours of paperwork each week; the wrong one adds a screen your staff avoid. This checklist covers what to look for, in the order that usually matters most.
1. Start with your daily workflow, not the feature list
Before you look at any vendor, write down what actually happens in a normal day at your center: drop-off, meals, naps, nappy changes, activities, incidents, pick-up, and the admin work after closing. A good system should make each of those moments faster for the person doing it. Use this list to judge every demo.
2. Core features every center needs
- Attendance and check-in/out — digital sign-in with real-time attendance, so you always know who is on site.
- Daily reports — meals, naps, activities and photos shared with parents without re-typing.
- Parent communication — direct messaging, group announcements and urgent alerts (closures, events).
- Billing — automatic invoices, payment reminders, online payments and receipts.
- Health and incident logs — documented incidents, health observations and medication records.
- Staff and classroom management — class assignments, schedules and role-based access.
- Reports and export — attendance, financial and incident reports you can export for inspections and audits.
3. Mobile apps for every role
Teachers record most activity on the floor, not at a desk, so a mobile app is essential. Check that there are apps for each person who uses the system:
- Teachers: one-tap check-in/out, quick photo uploads, journals and milestone tracking.
- Parents: arrival and pick-up notifications, daily reports with photos, and messaging with teachers.
- Owners and directors: a live dashboard of attendance, enrollment, finances and parent requests.
KidsCare has separate iOS and Android apps for parents, teachers and nursery owners.
4. Security and privacy of children's data
You are responsible for some of the most sensitive data there is: children's names, photos, health information and family details. Ask every vendor:
- Is data encrypted in transit and at rest?
- How often is data backed up, and where? Is there a tested recovery plan?
- Can we set role-based permissions so staff only see what they need?
- Can we review photos before they are shared with families?
- Which privacy laws do you comply with in our country (for example GDPR in Europe)?
- Do you ever sell or share our data with third parties?
- Can we export all our data, and is it deleted if we leave?
Get the answers in writing. See how KidsCare handles this on our security page.
5. Room to grow
Multiple locations
If you run — or plan to open — more than one center, look for centralized oversight with location-specific controls, so you can compare sites without logging in and out.
Integrations
Check whether the system connects to the tools you already use, such as accounting software, HR systems, attendance devices or bus tracking, and whether there is an API for anything custom. See KidsCare integrations.
6. Ease of use and onboarding
The best system is the one your staff actually use. During the demo, ask to see the teacher app, not just the admin dashboard. Then ask how long setup takes, whether training is included, and what happens when you hire new staff later.
7. Language support
If your families speak different languages, check whether the parent app and messages can be used in more than one language. KidsCare includes multi-language support with translation assistance for family communication.
8. Transparent pricing
Ask for the total monthly cost for your enrollment, including payments, apps and support, and check for setup fees and contract lock-in. Our guide to childcare software costs explains the pricing models and hidden fees in detail.
A quick scoring checklist
Score each system you evaluate from 1 to 5 on:
- Fits our daily workflow
- Teacher app is fast and simple
- Parent app and communication
- Billing and payments
- Security, privacy and data ownership
- Multi-location and integrations (if needed)
- Onboarding, training and support
- Total cost for our enrollment
The highest score — not the longest feature list — is usually the right choice. If you'd like to score KidsCare against your checklist, book a free demo and bring your list.
